3 in 1 Platform (Electronic Health Record, Telemedicine and Telepharma)Login
Zengnia (“Zengnia”, “we”, “us”) operates Zenara, a healthcare marketplace and clinical software platform that connects patients with doctors, pharmacists and healthcare organizations. Zenara provides appointment booking, video consultations, electronic health records (EHR), e-prescribing and telepharmacy, medical billing and insurance claims, and in-app payments.
This policy explains what personal information we collect through our websites and mobile applications, why we collect it, who we share it with, and the choices and rights you have. It applies to everyone who uses Zenara: patients, doctors, pharmacists, billers, receptionists and organization owners.
Zenara handles health information. Details about your body, your conditions, your medicines and your care are among the most sensitive categories of personal data that exist. We treat them accordingly: we do not sell them, we do not use them for advertising, and we do not share them with third parties for their own marketing purposes — ever.
Zenara is used by healthcare organizations to deliver care. That means two different relationships exist at the same time, and which one applies changes who controls your data:
Where we act on a provider's behalf, we enter into written data protection agreements with that organization committing us to confidentiality, security, and use of the data only to deliver the service.
| Category | What it includes |
|---|---|
| Account & identity | Name, username, email address, password (stored only as a cryptographic hash), phone number, date of birth, gender, profile photo, your role on the platform, and the organization you belong to. |
| Health & clinical | Appointment and consultation records, encounter notes, diagnoses and conditions, vital signs, prescriptions and medication history, allergies, lab and diagnostic documents you or your provider upload, external records imported into your chart, consent forms, and digital signatures. |
| Consultation content | Video and audio of online consultations, and any cloud recording of that session — see section 4. In-app chat messages between you and your care team. |
| Payment & billing | Invoices, insurance policy and claim details, transaction history, payout details for providers, and mobile money identifiers. Full card numbers are handled by our payment processors and are never stored on Zenara servers. |
| Professional | For doctors and pharmacists: qualifications, specialties, licence and registration details, availability, consultation fees and practice information. |
| Technical & usage | IP address, device and browser type, operating system, app version, push notification token, language preference, pages and features used, and timestamps. We keep security and audit logs of significant actions taken in the platform. |
| Support | Messages, attachments and correspondence when you contact us for help. |
We collect this information when you provide it directly, when your healthcare provider or organization records it during your care, and automatically as you use the service. If you sign in with Google, we receive your name, email address and profile picture from Google — we never receive your Google password.
Our Android and iOS applications request device permissions only for features you actively use. You can refuse or later revoke any of them in your device settings; the rest of the app keeps working, though the specific feature will not.
We do not collect precise device location, we do not read your contacts, and we do not access your SMS messages or call logs.
Online consultations on Zenara are delivered through Zoom. During a consultation, audio and video are transmitted through Zoom's infrastructure.
Consultations may be recorded to the cloud. Zenara is configured so that consultations can be automatically recorded and stored, so that your provider has an accurate record of the visit. Recordings are linked to the corresponding consultation in the patient's chart and are accessible only to the patient, the provider who conducted the consultation, and authorized administrative staff of that provider's organization.
Before a consultation begins you may be asked to give consent. If you do not wish a session to be recorded, tell your provider before the consultation starts — recording is controlled by the provider organization, not by us. Recordings are treated as part of the medical record and are retained under the rules described in section 9. We do not use consultation recordings to train artificial intelligence models.
We do not sell your personal information. We do not use health information for advertising, and we do not share it with advertising networks or data brokers.
Zenara offers optional assistant features, including a support chatbot and voice commands, built on third-party AI services. When you use them, the text or voice input you provide is sent to the AI provider to generate a response.
Payments are processed by Stripe and, in supported markets, MTN Mobile Money. When you pay, your card or mobile money details go directly to the processor. Zenara never receives or stores your full card number, CVC or mobile money PIN. We retain only what we need to run the service: the transaction amount and status, the last four digits and card brand, invoice and claim records, and payout history for providers.
Financial and tax records are kept for the period required by applicable law, typically seven years, even after an account is closed.
| Type of data | Retention period |
|---|---|
| Medical and clinical records | For the minimum period required by the medical record retention law applicable to your provider — commonly between six and ten years after the last episode of care, and longer for minors. |
| Consultation recordings | Retained as part of the clinical record under the same rules, unless your provider deletes them earlier. |
| Financial, invoice, claim and tax records | Typically seven years, as required by tax and accounting law. |
| Account and profile data | For as long as your account is active, then deleted or anonymized after your deletion request, subject to the obligations above. |
| Security and audit logs | Usually 12 to 24 months. |
| Support correspondence | Up to 3 years after the matter is resolved. |
You can ask us to delete your Zenara account and associated personal data at any time.
To request deletion, submit the account deletion request form, or email support@zengnia.com from the address registered to your account with the subject line “Account Deletion Request”. We will confirm receipt within 5 business days and complete the request within 30 days. We may need to verify your identity before we act, to make sure nobody else can delete your records.
Your profile and account details, your login credentials, your profile photo, your notification tokens and preferences, and your support history.
Healthcare is not like other services: we cannot delete everything on request, because medical and financial records are subject to mandatory retention periods that exist to protect you.
Once these periods expire, the remaining data is deleted or irreversibly anonymized. Where we cannot delete a record, we restrict it so it is no longer used for any active purpose.
Depending on where you live, you may have the right to:
To exercise any of these, email support@zengnia.com. We respond within 30 days and will not charge you or treat you differently for asking. If your request concerns clinical records held by a healthcare provider, we will pass it to that provider and help them respond.
We apply these protections as a baseline to all our users, wherever they are, rather than only where a particular law compels us to.
No system is perfectly secure. If a breach affects your personal information, we will notify you and the relevant authorities without undue delay, as required by applicable law.
Zengnia is established in the United States, and our service providers operate globally. Your information may therefore be transferred to, stored in, and processed in countries other than your own, whose data protection laws may differ from those where you live.
Wherever your data goes, we require an appropriate safeguard to travel with it — such as standard contractual clauses, an adequacy decision, or an equivalent contractual protection — so that it keeps the level of protection described in this policy.
Zenara accounts are for adults aged 18 and over. We do not knowingly create accounts for children, and we do not knowingly collect personal information directly from a child.
A parent or legal guardian may use Zenara to obtain care for a minor in their custody. In that case the adult holds the account and is responsible for it, and the child's health information is handled as part of that adult's record with the same protections described here.
If you believe a child has created an account independently, contact support@zengnia.com and we will act promptly.
We may update this policy as the platform evolves or the law changes. The “last updated” date at the top always reflects the current version. If a change materially affects how we handle your information, we will tell you in advance by email or through an in-app notice, so you have the chance to review it. Continuing to use Zenara after a change takes effect means you accept the updated policy.
For any question about this policy, about how your information is handled, or to exercise your rights, contact us:
For account deletion requests, use the subject line “Account Deletion Request”. For privacy rights requests, use “Privacy Request”. We respond to both within 30 days.
